Employee certification tracker template

A simple certification spreadsheet you can actually grow out of.

Start with a clean CSV for employee and contractor credentials. Open it in Excel, Google Sheets, Numbers, or another spreadsheet tool. If manual checking and follow-up becomes the hard part, the same column structure is ready for Deadline Hawk's certification import workflow.

The public site remains in private preview/noindex mode. The CSV format matches Deadline Hawk's current certification import fields.

What is included

Enough structure to be useful without turning into an HR system.

The template is intentionally narrow. It captures the fields Deadline Hawk needs to turn a passive certification list into trackable expiration records while avoiding sensitive employee data that is unnecessary for the reminder job.

Columns

  • holder_name — employee, contractor, or other credential holder
  • person_kind — employee, contractor, client, vendor, household member, or other
  • credential_title — CPR, BLS, CNA/nurse-aide record, RN license, forklift evaluation, etc.
  • credential_kind — certification, license, training, permit, or other
  • issuer — optional issuing organization
  • expires_on — YYYY-MM-DD expiration date
  • recurrence_rule — optional recurrence such as yearly
  • notes — optional context

Privacy by architecture

No phone-number shortcut. No implied SMS consent.

The template does not need employee phone numbers or email addresses to perform its core tracking job. Deadline Hawk's import process does not treat spreadsheet contact data as consent to message another person. External-recipient messaging stays a separate verified, consent-aware workflow.

How to use it

Spreadsheet first. Automation when the chasing starts.

01

Download

Open the CSV in your spreadsheet tool and replace the sample rows with your own certification records.

02

Keep clean dates

Use YYYY-MM-DD for expiration dates so sorting and future import validation stay predictable.

03

Import when useful

Upload the file to Deadline Hawk's private certification import screen when you want active reminders and renewal tracking.

04

Review before apply

Deadline Hawk stages and validates the rows before creating People, deadlines, and certification records.

Example mixed roster

One sheet can hold very different credentials for the same team.

These are illustrative sample rows, not renewal-rule guidance. Use the issuing authority or employer record for the real credential name and date.

Why mixed rosters matter

The spreadsheet becomes operational work when one administrator owns many different cycles.

A home-care, assisted-living, hospice, skilled-nursing, dental, construction, security, or other small organization may have one person responsible for dozens or hundreds of credential records. The sheet can store them; the recurring work is checking what is next, reminding the right person, confirming the renewal, and carrying the new date forward without erasing history.

Care-workforce examples

Need help choosing the date?

Start with the issuer or regulator—not a spreadsheet formula.

Deadline Hawk's Certification Deadline Library separates factual renewal research from the tracking software. Each published guide uses an authoritative source and carries an update and review date.

You do not need to rebuild the tracker to try Deadline Hawk. The public CSV uses the same core columns as the certification import workflow.

Questions

Using the certification tracker.

Can I use this without Deadline Hawk?

Yes. It is a normal CSV and can be used as a basic certification register in a spreadsheet tool.

Can one employee have several certifications?

Yes. Use one row per person-plus-credential combination. That makes it possible to track, for example, both a CNA/nurse-aide credential and BLS for the same worker.

Can I add extra columns?

You can for your own spreadsheet use. For direct import, keep the required Deadline Hawk column names intact and review the private import preview before applying rows.

What date format should I use?

Use YYYY-MM-DD, for example 2027-06-30. That format is explicit and works well for sorting and validation.

Does the spreadsheet send reminders?

No. The spreadsheet stores the record. Deadline Hawk adds the reminder, completion, renewal, and history workflow when you import the data.

Want the spreadsheet to follow up for you?

Import the same certification rows into Deadline Hawk to add expiration status, reminder schedules, renewal history, and completion tracking.
