Certification tracking software vs Excel

Keep the spreadsheet if it works. Automate the chasing when it doesn’t.

Excel is excellent at storing certification dates. The gap appears when someone must repeatedly check the sheet, send reminders, confirm renewal, and preserve what happened after the date changes.

Private preview. This comparison reflects currently built tracking, import, renewal, completion, and history workflows. External employee/manager delivery remains gated during recipient testing.

The practical distinction

A spreadsheet is a record. Deadline Hawk adds follow-through.

A well-designed spreadsheet may be all a small team needs. Deadline Hawk becomes useful when the hard part is no longer storing the date, but remembering to check it, sending repeated reminders, knowing whether renewal happened, and carrying the next expiration forward without erasing the old one.

Choose Excel when

  • One person checks the file reliably.
  • You have only a handful of credentials.
  • Manual email follow-up is rare.
  • You do not need reminder or renewal history.

The migration wedge

You do not have to throw the spreadsheet away first.

Start with a clean certification tracker. When manual checking and chasing becomes the bottleneck, export or save it as CSV and stage the rows in Deadline Hawk. The import workflow validates the file before operational records are created and avoids treating spreadsheet contact data as messaging consent.

When Deadline Hawk adds value

The recurring work around the spreadsheet.

01

Checking

Upcoming and expired status is derived from the deadline occurrence instead of depending on somebody opening the sheet.

02

Reminding

Attach multiple advance reminder points to the same expiration date.

03

Confirming

Record DONE, FILED, PAID, or a dedicated certification RENEWED outcome rather than assuming a message was enough.

04

Recurring

Enter the real next certification expiration and preserve the old renewal cycle instead of overwriting it.

Your next move

Keep using the sheet, compare the workflow, or turn on follow-through.

The free tracker is deliberately compatible with the current import workflow, so you can start with the lowest-friction option and move into Deadline Hawk only when reminders and renewal history become worth automating.

Questions

Excel and certification tracking.

Is Excel bad for certification tracking?

No. Excel can be an excellent certification register. Deadline Hawk is designed for the point where checking, reminder delivery, completion status, renewal history, and follow-through become the harder problem.

Can I start with the spreadsheet and move later?

Yes. The certification import workflow is specifically designed around staging and validating CSV rows before they become People, deadline occurrences, and certification records.

Will importing a phone number start texting an employee?

No. Spreadsheet import does not create SMS consent or automatically activate external recipient messaging.

Does Deadline Hawk replace an LMS?

No. Deadline Hawk focuses on expiration, reminders, renewal status, and follow-through. If you need course delivery, exams, skills administration, or training content, an LMS is the more appropriate system.

Stay ahead

Ready to stop checking the sheet manually?

Create an account, import the same certification rows, and add reminder schedules, completion states, and renewal history around them.
