Home care certification tracking

Track every care-workforce credential before it lapses.

Track CNA and nurse-aide credentials, HHA/HCA/CHHA records, RN/LPN licenses, CPR/BLS, and training dates with email and account-owner SMS reminders in one lightweight follow-through system.

Bring your existing CSV. Preview and validate rows before applying them. Do not import patient-care data.

Available now: email + account-owner SMSPlanned: phone/voicemail + USPS mail

See what expires next

Scan each person, credential, verified date, status, and next action in one queue.

Remind before it is urgent

Schedule email and account-owner SMS reminders with enough runway for renewal work.

Renew without losing history

Close the prior cycle, enter the actual next date, and stop obsolete reminders.

How it works

Build a roster that survives renewal season.

Bring the dates your team already trusts. Deadline Hawk turns them into a repeatable verify, remind, and renew workflow.

01

Verify and import

Confirm each date with the regulator, registry, board, issuer, or employer. Preview and validate the CSV before applying clean rows.

02

Remind and follow up

Schedule account-owner email and SMS reminders early enough for training, fees, documentation, and manager follow-up.

03

Renew and preserve history

Record the actual next date, close obsolete reminders, and retain the prior cycle so renewal history stays intact.

Best for

Small home-care, home-health, senior-care, hospice, skilled-nursing, and healthcare staffing teams managing recurring employee credentials in spreadsheets or calendars.

Not designed for

Teams seeking EVV, scheduling, payroll, clinical records, care plans, background checks, or automatic verification against registries.

Why spreadsheets fall short

The date is only half the job.

A spreadsheet can store every date correctly and still fail when nobody checks it consistently. Deadline Hawk keeps each verified credential tied to the right worker, shows what needs attention next, sends account-owner reminders, and preserves the prior renewal cycle.

  • One administrator may be responsible for dozens or hundreds of credential records across caregivers, aides, nurses, supervisors, and contractors.
  • Credential dates often live in spreadsheets, employee files, email, training portals, and state registry systems at the same time.
  • A spreadsheet can store the dates correctly and still fail because nobody consistently checks it and follows up.

Three important outcomes

Keep the roster accurate. Make the next action obvious.

01

See every credential clock

Keep separate CNA, HHA/HCA/CHHA, nursing-license, CPR/BLS, and training dates connected to the correct worker in one next-action view.

02

Import without rebuilding the roster

Preview and validate your current CSV, reuse People where the match is clear, and apply clean rows only when you are ready.

03

Follow through without losing history

Use email and account-owner SMS reminders, record RENEWED with the actual next date, stop obsolete reminders, and retain the completed cycle.

Reminder channels

Start with reminders that work today.

Account-owner email and SMS are available now. Additional delivery channels are clearly marked as planned.

Available now

Email reminders

Send early, approaching, due-date, and overdue reminders with the context and links needed for follow-up.

SMS text reminders

Send concise reminders to the account owner's verified mobile number when a credential needs attention.

Planned

Phone calls with voicemail

Planned for high-urgency deadlines where a call or voicemail may be more noticeable.

USPS postcards and letters

Planned as an optional physical reminder outside the inbox.

Current availability: account-owner email and SMS. Planned channels: phone/voicemail and USPS mail. Deadline Hawk will not describe a planned channel as available until implementation and delivery testing are complete.

Illustrative mixed roster

See what one care-workforce administrator may actually manage.

A useful tracker makes the next action visible across unlike credentials instead of forcing an administrator to remember which portal or spreadsheet tab to inspect.

Illustrative data only. Deadline Hawk does not determine credential validity or store patient-care information; use the responsible authority for each real name, rule, and date.

Choose the right level of software

A focused tracker, a spreadsheet, and a home-care suite solve different problems.

The best choice depends on the work you need the system to perform. Deadline Hawk is strongest when dates and follow-through are the problem, not when the organization needs an operating or clinical platform.

Deadline Hawk is not a healthcare compliance certification, primary credential source, employee file, or clinical system. It is an independent tracking and reminder layer for dates the organization has verified.

Questions

Common questions about this workflow.

Can Deadline Hawk track CNA, HHA, HCA, CHHA, RN, and LPN credentials together?

Yes. Separate credential records can be tied to the same or different People. The exact credential name, authority, and renewal rule still come from the relevant state, issuer, employer, or other authoritative source.

Is this complete home-care agency software?

No. Deadline Hawk does not replace EVV, scheduling, payroll, care plans, clinical documentation, billing, or a home-care operations platform. This page focuses on credential dates, reminders, completion, renewal history, and lightweight reporting.

Does Deadline Hawk verify a caregiver's credential with the state registry?

No. The regulator, registry, board, employer, or issuing organization remains responsible for current credential validity. Deadline Hawk tracks the dates and status supplied by the user.

Can I import our current employee credential spreadsheet?

Yes. Deadline Hawk has a certification-focused CSV import workflow with preview, validation, duplicate controls, Person reuse, and an apply step for clean rows.

Can Deadline Hawk automatically text employees about expiring credentials?

Not yet. Deadline Hawk currently sends email and SMS reminders to the verified account owner. Direct employee and manager delivery is still being tested and is not available as a public feature.

What reminder channels does Deadline Hawk support?

Account-owner email and SMS reminders are active. External employee and manager delivery remains gated while consent and recipient workflows are tested. Phone calls with voicemail and USPS postcard or letter reminders are planned for later development.
