Completion confirmations

Stop reminders when the work is actually done.

Record DONE, FILED, PAID, or RENEWED outcomes, stop obsolete reminders, and preserve a useful completion history instead of assuming a notification means the obligation was handled.

Private preview. Core deadline, reminder, import, completion, renewal, and history workflows are live behind sign-in. External employee/client delivery remains gated while recipient testing is completed.

Best for

Owners, operations teams, advisers, and credential managers who need a visible outcome and a reliable stop condition for important reminders.

Not designed for

Teams looking for workflow approvals, document signing, payment processing, or automatic verification that an outside agency accepted a filing.

A focused reminder workflow

More persistent than a calendar notification.

Deadline Hawk treats a reminder as the beginning of follow-through, not proof of completion. Generic deadlines can be confirmed as DONE, FILED, or PAID. Tracked certifications use a dedicated RENEWED workflow that captures the actual next expiration date before closing the old reminder sequence.

Common uses

  • Confirm a filing was submitted
  • Record that a bill or fee was paid
  • Close an ordinary completed obligation
  • Renew a certification and enter its new expiration date
  • Prevent stale reminders from continuing after completion

Why spreadsheets fall short

The date is only half the job.

  • A calendar alert can be dismissed even though the filing, payment, or renewal is still unfinished.
  • Teams often keep sending follow-up messages because nobody has a trusted record that the work was completed.
  • Marking a renewable credential done without entering its next expiration creates a new tracking gap.
  • Old reminders can become noise or confusion if they continue after the obligation has been resolved.

Three important outcomes

Keep the roster accurate. Make the next action obvious.

01

Outcome-aware reminders

Use DONE, FILED, and PAID to distinguish what happened instead of collapsing every obligation into one generic completed state.

02

Renewal is not generic completion

A certification renewal asks for the actual new expiration date, preserves the old occurrence, and creates the next one without guessing a renewal interval.

03

Stop obsolete sends automatically

When an occurrence closes, reserved future reminders tied to that occurrence are cancelled and new stale deliveries are blocked at the database boundary.

04

Keep the history

Completion and renewal events remain available for later review rather than disappearing when the next deadline is created.

Example workflow

Start early. Increase urgency. Confirm the outcome.

  1. Before the due date

    Keep the obligation active

Use the deadline's reminder schedule while the occurrence remains pending.

  2. When action is completed

    Record the real outcome

Choose DONE, FILED, or PAID for ordinary obligations rather than merely dismissing a notification.

  3. When a credential renews

    Enter the next expiration

Use RENEWED and supply the actual new expiration date so the next occurrence is created correctly.

  4. Immediately after confirmation

    Stop and preserve

Cancel obsolete reserved reminders, prevent stale new sends, and retain completion history for later reporting.

Questions

Common questions about this workflow.

What is the difference between DONE, FILED, and PAID?

They all close the current deadline occurrence, but the code records a more useful outcome. DONE is a general completion, FILED is useful for submissions and filings, and PAID records a payment-related obligation as completed.

What happens to reminders after I confirm completion?

Deadline Hawk cancels reserved future reminders for that occurrence and blocks stale scheduler inserts so the completed occurrence cannot continue generating reminder deliveries.

Why is RENEWED different?

A tracked certification needs a new expiration date. The renewal workflow closes the old expiration, preserves its history, and creates the next pending expiration from the date you enter.

Does FILED prove that an agency accepted my submission?

No. FILED records the user's completion state inside Deadline Hawk. The relevant authority, portal, receipt, or other official source remains responsible for confirming acceptance.
